Our organisation works differently to other types of organisations because we don’t actively advertise in any way, as we do not buy or sell anything and there are only 10 other organisation in the uk that provide the same services as we do and we are the largest covering around 30% of the market

My main responsibilities are to provide technical support for domestic energy assessors and green deal advisors. Domestic energy assessors and green deal advisors are our main source of income at the minuet as there is currently a high demand for energy performance certificates on domestic properties; this helps our organisation reach EPBD standards by driving down energy usage across the UK.

Strategy development is the overall process of establishing where we are now and deciding where we want to be and how we are going to get there.
I follow various strategies to manage deadlines, manage time and stress everyday in my work life
Policy making involves taking a clear position on a function, service or issue to provide a framework or a set of principles that determine decisions, actions and approaches to those matters.
As an employee of this organisation, I strive my best to abide by the policies and procedures of my organisation.
A plan sets out the intended method of progressing from the current situation to the achievement of one or more of the desired outcomes.
In my day to day work, I plan everything with the SMART objective.
A procedure sets out the series of related steps to accomplish a specific task or carry out a particular activity. They are the precise description of the what, when, who, why and how of any particular activity

Team building is a process that requires due attention and care. So care needs to be taken to go through all the development stages so that troubles and setbacks are avoided.
The teams need to spend some time exploring and understanding what the purpose and vision of the team is. They then need to set goals and objectives so that it helps the team stay focused on their objectives and to be on track.
Conflict can be an inevitable consequence of working with other people. Opinions, values, styles, and a lot of other issues lead to disagreements within the team. But all disagreements need to be considered carefully and given thought, which will help the team run effectively.

Each member of the team work differently, think differently and this difference when put together in the team maximises team performance. Also it has to be made sure that the right people are employed in the right role.

No matter what role a person plays in a team, or what tasks he or she has been assigned to, there is almost always room for personal improvement. When the individuals on a team are functioning at high capacity, the team itself flourishes.

When we consider a successful team, all the members of team work in the same direction towards the same goal and work for the same purpose.
When priorities and goals differ or diverge from what is required of, unnecessary stress and tensions appear within the team. So cooperating and working towards the same goal is very important for the team to be successful

There have been instances when the team received deadlines, especially my manager, and I teamed up with her to finish off the job at the right time. They were data that were relative to the performance of the team. We had to do it at various instances, and the end result was fantastic, as we showed an enormous improvement in team’s overall performance.
2.3 Explain the purpose and benefits of sharing work goals and plans when working with others.
Generally we are working towards the same goal for the success of the business. Within a business we all have our own tasks to perform and goals to achieve. If we are all aware of each others goals, we can then offer to support those goals. Team work means we are all working towards the same end, but we can only do that if we know what we can expect from each other, and where each of us is heading
Working with others will help me to understand the best ways to work with other people to achieve shared goals. I will learn how to: •figure out what needs to be done;
•discuss and decide who will be responsible for which task and be clear about what everyone is going to be doing; •decide on timescales and resources to get my tasks done on time; •get together and talk about how I’m progressing – what went well and what didn’t; •agree with the others on ways I might be able to improve; •find ways of working together that work;

By working with others, I can use the skills of the whole of my group to get a job done successfully. I’ll be able to share my skills and learn new skills and new ways of working from other people. I’ll also get to share and get ideas.

I remember twice when I had to cover the entire duties of a different area, once when the team member went off sick for 3 months, and once when there was no admin at all for more than a month in a different area. It helped me understand how capable I was and how I could cope and manage with almost double the amount of work.
There are a few instances where I have trained new admin staff who start with the organisation in different areas, and I have always been there to support them and advise if any over the phone or personally or via emails.
2.5 Explain different ways of providing support to teams
The first occasion that I can remember is helping my head of services with some data collation relative to panel, when he had to urgently go in for a meeting with the assistant Director. I had to collate data for a year in 2 hours and present them to him in a neat format (month wise), which he could then present before the meeting.
The second occasion that I can remember is the data cleansing process which I assist my senior with. It helps in the overall improvement of the team performance.

Quality measures are agreed within a team to keep standards of the organisation high. This reflects on the company’s image and standard.
When considering a team, different people work differently. When quality standards and goals are set, and agreed, everyone in the team will work and have to work the same to produce a work or result of high standard. The team will be constantly communicating and know what is going on and what has to be done to finish off the work. It also helps to avoid work having to be redone and wasting resources which looks incompetent and unprofessional. Outcome 3
3.1 Explain when it is essential to communicate with the people working within a team
Critical situation when I had to effectively communicate with the team are when meetings are re-scheduled, training dates are cancelled, change of venues for meetings or trainings. I had to with no delay communicate with them, so as to avoid disappointment and delays in attending meetings and trainings, and also to prevent unwanted travel to the venues.
Also there are various instances, where I have to communicate various information to the team, department. I make sure that the details I
communicate are accurate and free of errors, as this can affect the values and smooth running of the organisation.
3.2 Compare and contrast different methods of communication and when to use them
Verbal communication is anything spoken directly from the mouth. This includes statements, presentations and feedback and is the best way most teams attempt to understand one another and be understood. It is used in meetings
Saves resources, time and finances, by avoiding meetings. Nonverbal communication can produce a lot of confusion, frustration and misunderstanding if it isn’t consistent with the verbal communication.
This is used when, messages have to sent across a wide range of people, and where it is inconvenient to meet together for a verbal talk.
A less common type of team communication is the presentation. It is easy to get the point across to several people at the same time.
This is used when processes and procedures need to be explained to a group or when a smaller group within the team collaborates to create an explanation or argument.
Debate is a healthy form of team communication that encourages members to disagree and challenge various issues and norms. It helps people participating to voice their ideas and concerns
This is used when the members need to explore new ideas and provides time for expression, feedback and healthy change. Debate is used primarily in brainstorming sessions.
It helps to receive comments and helps improve on the areas that need improvements.
It is used when ideas need to be gathered regarding anything.

The foundation of a good business team is regular and complete communication. Confusions and conflicts arise when communication is poor. The team also has to be open and honest to be a successful team.
The benefits of effective communication are:
Productivity depends largely on communication. By communicating properly and effectively, confusions can be avoided and it will help people achieve their goals.
Customer happiness is a high priority. So every benefit and issues have to be communicated with the customer, which will make them feel respected and valued.
As a team, we should always be ready to communicate honestly and openly and also listen to each other. Every member should be valued and respected, as everyone possess valuable skills and talents, when put together will help to produce an efficient team.
4.1 Explain the purpose and benefits of acknowledging the strengths of othersAcknowledging people for “just” doing their jobs has two great benefits:
1. They are reminded, or maybe get to see for the first time that their work does matter, that the results of their actions are helping someone else take care of a problem, save time, energy and money, fulfil on obligations, feel better, feel safe, become more knowledgeable etc.
2. They are reminded that they have a choice in what they do and that we appreciate that they choose to be of service to us: their employer, customer, colleague, supplier etc.

Everybody needs a little respect. There are also other added advantages of developing appropriate respect in the work place. One is that the employees start to accept their mistakes in the right sense and strive to rectify them. Employees, whose respect and well-being is safeguarded, often tend to strive for the well-being and the success of the organization, ensuring an effective team work

5.1 Explain the types of problems and disagreements that may occur when working with others. The types of problems and disagreements that may occur when working with others are: •Differences of opinion: Usually they cannot be resolved easily, because they are a difference of opinion and neither answer may be right. •Incompetence: This is another hard one to resolve, as the incompetent person may not realise that they are that way, usually more training is suggested, but that usually doesn’t sit well when that suggestion is given, especially by peers •Dishonesty: This gives the person a bad reputation

•Problems/disagreements over lunch breaks, annual leave, holidays, etc. •Difference regards to the way of working.
Disagreements arise from not minding your own business. Therefore it is best to follow the rules of your employment.

The best way to resolve any problem or disagreement is to compromise, to be as flexible as possible, and of course the leaders’ mediation. People need to be held accountable for what they say by either having them write and sign accusatory statements or simply keeping their mouths shut. Problems are overcome by assigning roles for different members or talking the issue out. Also face to face discussions, rotas, involving management and grievance procedures help resolve issues at work.

Constructive feedbacks are important, as they help the organisation improve, nd help the employees do their work more efficiently. It also helps the team and the organisation do their jobs in an easy and perfect way.
For giving feedback effectively, the number one Rule is to try to make it a positive process and experience. •It has to be timely. The closer to the event I address the issue, the better. •Feedback has to be given regularly and it is something that requires constant attention. •I have to prepare my comments while giving feedback.
•I will have to be specific by telling the person exactly what they need to improve on. •Always find a safe and private place to give feedback, so that no one else hears what is being said or spoken •Feedback has to be limited on specific issues, rather than too many. •Be very careful to include positive feedbacks too, as it will help the person feel confident and not feel too down. •Make sure you inform the person what needs to be done to improve the situation and give any useful suggestions. •Feedback is given to improve performance, so be sure to follow up on feedbacks.
Receiving Feedback Effectively
Very similar to giving feedback, it is very important to receive feedback too, as no one is perfect. •We have to make sure we ask for feedback to our team members and manager as we always do not see our mistakes. I always ask for feedback to my manager during my supervision. •When receiving feedback, stay calm and listen, because it is always something that is for your goodness to improve your performance. •If you do not understand anything, stay calm and ask the person giving feedback to rephrase it for you. •While receiving feedback, ask for examples and suggestions in order to avoid misunderstandings. •After the feedback session, sit down and reflect on it, and try to find ways solve the problems.

Getting feedback is a great way to make a work place much more efficient. Feedback can be used in several ways. It helps you realise and identify how members of the team and from other departments like and do not like about the way you work. Things that other people do not like can be reviewed and analysed to see in what way it can be changed. You can also obtain feedback from a few other people on the same issue to see if everyone feels the same about it.
Through feedback, some common ways of working can be introduced so that the team works closely together to achieve the targets. It also makes the quality of work perfect, thereby helping you finish off tasks at the right time.
