Project Management Organizational Structures Paper Essay
A project organization is a framework of rules and regulations that companies use to facilitate the harmony and finishing point of project activities. Its foremost objective is to generate a atmosphere that will encourage relations between project workers with the least amount of distractions as possible. It is important to select the organization structure at the beginning of every project. Based on the uniqueness of the project, each project structure has various forms of its own rewards and disadvantages.
At the beginning of each new project, it is imperative to decide on the setup of the organization structure. Because of the distinctive characteristics of the project, each project component has various forms of its own benefits and disadvantages. The core objective of an organizational structure is to lessen misunderstanding and doubt that is more or less sure to take place in the early stages of a project. The structure defines the relations between all members of the project management and the associations it has with its stakeholders. This is done by using an organization graph.
Functional structure, Matrix structure and Pure Project structure are the three types of project management organizational structures that will be in this paper. There are several considerations that must be taken into account when selecting a project management structure. One of the major concerns is the size of the project since it is and surrounding topic that needs to be addressed near the beginning stages of the project. Once the size of the project has been taken care of, the next step would be to consider the strategic plan and the need for innovation and technology.
While projects sometimes might go outside of boundaries that have been set, the project manager must make sure that if that happens, the resources that will be needed are and will be readily available to use in order to make sure the project completed on time. The functional structures allow all the employees inside the functional divisions of a company to perform a set of specific assignments. Every department within a company is staffed with employees that are knowledgeable in that specific field.
For example, employees that specialize in engineering stay within the engineering section of the company, and the administrator that work in the Human Resources (HR) department stay in that sector of the company. It is a very comprehensible system to keep the right people in the right place doing the job they are trained to do The only negative aspect to this setup of this structure is that there is little to no communication between the among the separate divisions. However, if an emergency were to arise, each division would be able to respond accordingly. The second structure in project organization is the matrix structure.
According to “What Is A Matrix Structure” (2010), “The matrix structure is an organizational plan that groups employees by both function and product. The organizational structure is very flat, and the structure of the matrix is differentiated into whatever functions are needed to accomplish certain goals. Each functional worker usually reports to the functional heads, but do not normally work directly under their supervision. Instead, the worker is controlled by the membership of a certain project, and each functional worker usually works under the supervision of a project manager.
This way, each worker has two superiors, who will jointly ensure the progress of the project. The functional head may be more interested in developing the most exiting products or technologies, whereas the project manager may be more concerned with keeping deadlines and controlling product costs” (para. 2). The third and final installment of the project organizational structure is the pure project structure. With this part of the formation, the project manager has complete control over the entire project.
The manager is also responsible for overseeing the work of the personnel monitoring things such as attendance, making sure that all rule, regulations and polices are followed by every staff member; as well as their job performance. As a result, the project managers can anyone from department head to senior corporate manager. Each one of these three structures has their individual strengths and weaknesses, which have to be modified for each project worked on. A simple mistake made when compiling the information needed to complete a project can lead to its destruction before it even leaves the planning process.
It is essential that the project manager consider every aspect of the project and the availability of its resources in both current and future time as the project develops to ensure that all objective of the company is met.
