The ISO 14001 standard is a certification given by the International Organization for Standardization (ISO), a worldwide federation that promotes the development of trade, communications, and manufacturing standards internationally, that specifies the requirements for the implementation of environmental management systems (EMS) (ISO 14001:2004, 2005). At our company, Shell Oil Company, having achieved the ISO 9001, it was much easier to plan and execute a restoration program for implementing an EMS. An environment policy, which also included a commitment to continually improve and comply with environment regulations, prevent pollution, was approved by the top management and posted in various offices and sites for our employees and customers.

The Implementation Team

The first step for achieving this was first to analyze the benefits of being ISO 14001 certified and how to integrate it with the way we do business. The employees had to come up with suggestions on how to deliver environmental improvements that are relevant and beneficial to our customers and stakeholders. A team comprising of manufacturing director, quality controls analyst, environment manager, engineering representative, and supply chain manager was chosen and charged with the task of implementing the EMS. This team was given full support by the top management and the required resources availed to them. They had to assess various environmental factors necessary for achieving the business goals of the company.

EMS Training

After evaluating the performance of three outside consultants, the team settled on one who had more experience in the implementation of an EMS and achieving ISO 14001 certification. Week long training was conducted by the consultant for the team and for three EMS internal auditors who would ensure that our business does not break the regulations. The following topics were covered during the training session: How to identify legal and regulatory requirements, activities, products, and services related to the environment in each participant’s area of responsibility; the core elements of ISO 14001 EMS standard; techniques and methodology for developing, assessing and implementing a successful EMS. The individuals trained during the session with the consultant were also charged with the task of training other employees to enlighten them on the new standardization.

Environmental Aspect Identification, Objectives, Targets and Programs

After our environment policy was approved, the team embarked on identifying the several environmental aspects that our business deals with. A list of environmental aspects was developed for our products, suppliers, and sites. This list was graded based on how much impact they had on the environment. Their economic impact, public opinion, environmental legislation and regulations were also considered. Programs were designed to help meet the targets and objectives, set by the team after identifying the significant aspects, on time.

EMS Procedures and Documentation

Since most of the employees at Shell have access to personal computers, the documentation of the standard procedures was done electronically and a back up printed on paper. This documentation was done to ensure effective planning, operation, and control of processes related to the identified aspects, and to conform to the ISO 14001 standard.

Management Reviews, Audit and Certification

Reviews on how well the objectives have been met, how the EMS has worked, and the necessary changes will be held regularly. The requirements of the ISO 14001 EMS have to be met by the environmental management policies, hence external auditors from an independent registering body had to audit our policies.  After the audit and the presentation of all the necessary documents, Shell was certified to ISO 14001.
